SYS 055: Visual Prioritization of Quarterly Goals, YAY!

When you have a quarterly or annual meeting and all the tasks and goals that have been previously put on the back burner are discussed and brought to light, how do you take that daunting incongruous list and present it in a way that is easy to manage and avoids “cherry picking” of the more desirable tasks? Steve has a simple way of visualizing even the largest list of jobs into an easy to prioritize chart.    KEY TAKEAWAYS    Imagine you have a blank sheet of paper split into four equal quarters. On the vertical line you have impact scale and on the horizontal you have effort. Place your listed tasks as follows. At the top of the paper place the tasks which are going to offer the biggest rewards, or have a close deadline. From left to right, place the tasks which take the most to least effort.  Use a brainstorming approach, as until a good number of your tasks are represented on the chart, it will not be clear which are truly high priority or high effort.  You need to use a method for the chart that allows you to move things around as you go, so don’t just use pen and paper. There are digital versions and colour coding can increase the clarity, especially if you have different departments or task types.    BEST MOMENTS    ‘What typically happens in my business is you sort of end up cherry picking.’ ‘What’s the impact of that being delivered and also from an internal point of view is there a high need for it?’ ‘You put it relative to something else that’s on the board. So then you put something else on, and based on my opinion or those other people in the meeting, is that more or less impactful than those two things that are already on there?’ ‘It was one of the most useful and productive meetings I’ve ever had and it was a meeting with myself!’   VALUABLE RESOURCES Facebook Group: https://www.facebook.com/SystemsAndOutsourcing/  Website: https://systemsandoutsourcing.com/welcome-1  YouTube: https://www.youtube.com/c/drsteveday    The RIGHT Assistants For Your Business by Dr Steve Day  http://bit.ly/sys-10   ABOUT THE HOST Steve used to be a slave to his business but when he moved to Sweden in 2015, he was forced to change the way he worked.
